MANAGEMENT STRUCTURE AND NATIONAL EXCO:

National Committee: The National committee shall consist of the chairperson of provincial branches and one (1) executive member from each province.

Terms of office:

Committee Members shall be elected for a period of two years and may stand for re-election. In the event they don’t stand for re-election new membership must be nominated from the executive committee of provinces.

In the case of a Committee Member resigning or being unable to fulfil the duties of Committee, Committee may co-opt a member from the membership to perform the vacated Committee Member’s duties until the next AGM. Co-opted Committee Members will not have voting rights.

Resignation of a Committee Member must be communicated in writing to the secretary.

ELECTORAL PROCESS:

Elections shall take place annually during the Annual General Meeting (AGM) or at the AGM following the resignation of one or more Committee Members.

Nominations and acceptance for election to National Executive Committee in writing 2 weeks before AGM with short CV.

Vice president to take over in event of President no longer able to fulfil duties.

POWER AND DUTIES:

Of Committee:

The Committee shall manage the policy and business of the Association according to the constitution. These activities will be supported by allocating portfolios to individual Committee Members.

Committee will furthermore have the authority:

o To appoint special Sub-Committees, persons to represent the Association, Office Bearers;
o To co-opt additional members to serve as Committee Members;
o To admit or refuse applicants for membership;
o To acquire, purchase or lease moveable/immovable property on behalf of the Association;
o To open banking/savings/investment accounts in the name of the Association;
o To appoint at least two Committee Members who will be authorised to jointly sign cheques;
o To approve expenses other than petty expenses;
o To appoint an auditor;
o To establish branches or committees in different regions.

Of Office Bearers:

President:

The President shall preside at all meetings at which he/she is present and enforce observance of the Constitution. The President will carry the casting vote if required, in addition to his/her normal vote. The President shall represent the Association in all matters, or Vice President if unable to execute certain functions. In the event of a President retiring, such President shall hold office until the election of the new President.

Vice-President:

Shall deputise for the Vice-President where necessary. In the event of the resignation or permanent inability of the President to perform his/her duties, the Vice-President shall take over as President for the duration of the term.

Secretary:

The Secretary will:

o Give notice to members of meetings of the Association.
o Keep a true record of the proceedings.
o Communicate all relevant information that may be of concern to the membership.
o See to all general aspects related to the administration of the Association.

Treasurer:

The Treasurer shall be responsible for the financial administration of the Association which implies:

o The receipt of monies on behalf of the Association which will be deposited into a cheque/current account of a registered bank in the name of the Association.
o The preparation of an annual budget to be approved by Committee.
o The keeping of records of all financial transactions.
o The drawing up of a yearly Income and Expenditure Statement and Balance Sheet to be presented at the Annual General Meeting.
o Providing for any surplus funds to be invested in such a manner that it may accrue to ensure the successful financial future of the Association.
